City University Ajman needs a detail oriented Purchase Officer to join its team. This full time role involves managing the procurement process efficiently. You will process purchase orders accurately and coordinate with suppliers. You will also practice cost effective purchasing. Your goal is to support university operations through timely sourcing and negotiation. If you hold a bachelor degree in Business Administration, Supply Chain Management, Procurement, or a related field, this role suits you. Proven experience in purchasing or procurement is required.
Enter, proof, and maintain purchase orders based on received requests and management direction
Ensure superior accuracy when creating purchase order information
Verify correct product costing, specifications, and delivery instructions
Conduct market research to identify potential suppliers
Evaluate supplier suitability for specific products or services
Obtain a minimum of three best negotiated quotations for each requested item
Follow procurement guidelines closely
Negotiate with suppliers on pricing, terms, and conditions of sale
Review and evaluate bids based on price, quality, delivery terms, and other factors
Conduct physical visits to supplier locations to verify quoted products when required
Coordinate with suppliers on order status and delivery timelines after issuing purchase requisitions and orders
Resolve changes and discrepancies quickly
Update purchase order information accordingly
Maintain accurate purchase order records
Generate reports to highlight high cost areas and spending trends
Provide monthly consumption reports with proper documentation
Receive approvals for all impending maintenance work in line with college policies
Maintain updated supplier contacts and price lists
Communicate professionally with internal employees to resolve order related issues
Obtain order acknowledgements from suppliers
Recommend improvements to purchasing procedures to enhance efficiency and reduce costs
Attend meetings as required
Perform other related tasks and duties as assigned by management
Bachelor degree in Business Administration, Supply Chain Management, Procurement, or a related field
Proven experience in purchasing, procurement, or supply chain operations
Strong negotiation, vendor management, and market research skills
High attention to detail and accuracy in processing purchase orders
Strong organizational and time management abilities
Excellent communication and interpersonal skills
Knowledge of procurement policies, procedures, and documentation standards
Experience in educational or institutional procurement is an advantage
