Guildhall is recruiting on behalf of an international client for an Operations Associate to support the day-to-day operations of its Dubai office. Our client is a well-established global investment firm with a strong international presence and a reputation for operational excellence. The successful candidate will work closely with senior leadership to ensure the office operates efficiently, professionally, and to the highest standards while supporting business operations across multiple regions.Key ResponsibilitiesSupport the day-to-day operations and ongoing management of the DIFC office, ensuring that all administrative functions are executed efficiently and effectively.Collaborate closely with the EA/PA to the Managing Director to manage priorities, scheduling, and logistics, including coordinating meetings, travel arrangements, and event planning.Coordinate office administration, internal processes, and vendor relationships, ensuring that all services are delivered to the highest standards.Liaise with building management and service providers as needed, addressing any issues that arise promptly and professionally.Maintain a professional and discreet working environment in line with Ultra High Net Worth (UHNW) client standards, ensuring confidentiality and security at all times.Assist with the logistics of the office setup and opening phase, including procurement of office supplies, furniture, and technology.Be accessible and responsive across time zones when required, demonstrating flexibility and commitment to the role.RequirementsBased in Dubai with solid UAE or GCC experience, ideally with at least 3-5 years in a similar operational role.Background in one or more of the following sectors: investment funds, financial services, luxury hospitality, luxury food and beverage, or UHNW family office operations.Exceptional presentation skills, with the ability to communicate clearly and professionally, both verbally and in writing.Discreet, trustworthy, and comfortable working with high-profile individuals, maintaining a high level of confidentiality.Fast-paced, agile, and proactive- you anticipate needs rather than wait to be told, demonstrating initiative and problem-solving skills.Excellent English communication skills, both spoken and written; proficiency in Arabic is a plus and will be considered an advantage.
