This role is the primary on-site coordinator for all integrated facility services at Town Square Dubai, a vibrant 31 million sq. ft. master-planned community. You will ensure seamless delivery of soft and hard FM services, including B-1 level pest control, security, cleaning, and waste management across thousands of residential units and public spaces. Consequently, your work directly supports Nshama’s mission to create a world-class, sustainable community where residents can live, work, and play.
Key Responsibilities
- Oversee the daily delivery of all IFS contracts, ensuring compliance with Dubai Municipality regulations, approved methods, and safety standards[reference:0].
- Manage and supervise B-1 licensed pest control operations, including inspections, treatment plans, and documentation[reference:1].
- Serve as the primary point of contact for all site administrative and facility-related issues, coordinating with contractors, vendors, and internal teams.
- Maintain comprehensive records of all maintenance activities, work orders, and compliance reports using CAFM systems[reference:2].
- Coordinate and support preventive and corrective maintenance for all site facilities, including public parks, community gardens, and retail areas[reference:3][reference:4].
- Manage site documentation, including service agreements, H&S logs, and audit reports, ensuring they are accurate and audit-ready.
- Assist in budget monitoring, invoice processing, and procurement follow-ups for site services and supplies[reference:5].
- Facilitate communication between site staff, management, and external stakeholders, including the organization of meetings and visits.
- Ensure site adherence to all health, safety, and environmental regulations, contributing to a safe and positive workplace culture[reference:6].
- Prepare and submit regular reports on site operations, incident logs, and key performance indicators to senior management.
Requirements & Qualifications
- Bachelor’s degree in Business Administration, Facility Management, or a related field is preferred[reference:7].
- Minimum 3–5 years of experience as a Site Administrator, Facilities Coordinator, or in a similar IFS role, ideally within a large master community, real estate, or construction environment[reference:8].
- Valid B-1 Pest Control Technician Certificate issued by Dubai Municipality or equivalent certification recognized by the Public Health Pest Control Section[reference:9].
- Proficiency in Computer-Aided Facility Management (CAFM) software and the Microsoft Office suite (Excel, Word, Outlook)[reference:10].
- Strong understanding of integrated facility management, including knowledge of hard and soft services, and local regulatory requirements.
- Excellent organizational, problem-solving, and communication skills, with the ability to multitask and work under pressure.
- Valid UAE driving license and own car is required for site inspections and travel across the community.
- Fluency in English is mandatory; Arabic language skills are highly advantageous.
