Job Description
Office Support Associate at Seddiqi Holding will be responsible for performing various customer service duties and administration and clerical support to assigned departments as required and providing high quality luxury guest services to all visitors to the Seddiqi Holding HQ.
Responsibilities of Office Support Associate
- Provide a high level of visitor/guest hospitality on their arrival to the Seddiqi Holding HQ.
- Approach all guests on arrival or during their scheduled meeting to offer professional and warm hospitality.
- Provide guidance to visitors/guests on the Facility including location of meeting rooms, amenities and procedures as required.
- Maintain awareness of visitor/guest whereabouts on the Ground Floor and work with Security as required to ensure the safety and security of guests and the facility.
- Ensuring all meeting spaces are prepared for the next meeting, event or day as per the schedule by tidying furniture and coordination of maintenance and cleaning activities.
- Maintain the cleanliness of premises by coordinating the cleaning activities of third party vendors in accordance with Operation standards and procedures.
- Monitor and report any deficiencies or items for repairs of the facility, meeting room or office equipment and coordinate activities to repair and maintain with the appropriate department.
- Sort and distribute internal and external mail and communications in a timely manner throughout the HQ and in department’s pigeon holes.
- Receive and dispatch mail and communications in a timely manner and ensure all mails and correspondence is reported and submit to supervisor on time. Get all necessary documentation and signatures.
- Maintain pantry supplies, anticipate requirements, prepare orders and verify receipts and stock delivered items in coordination with Procurement Associate.
- Ensure proper shelving and stocking of the same as per HQ guidelines.
- Maintain cleanliness of pantry and storeroom areas and follow the weekly schedule of cleanliness and maintenance.

- Assist Guest Relations and Administrative team members in performing duties as required.
- Organize and update records in line with Department guidelines.
- Perform routine or adhoc administration tasks as required.
- Provide coverage across all floors of the Seddiqi Holding HQ to ensure prompt, efficient and luxury service is provided at all times.
- Perform out of office tasks as requested (example going to post office, banks and principal offices).
- Cross skill to ensure all Team Support can perform duties on all floors of the HQ hospitality support, administrative support.
- Ensure the employee Cafeteria is fully replenished and organized and ensure inventory and stocks are maintained and monitored
- Receive and dispatch the team uniforms from the laundry Company as per the weekly schedule.
- Update the daily/weekly report for laundry reconciliation.
Requirements for Role of Office Support Associate
- High School or equivalent
- 1-3 years job related experience and 1-2 years of relevant experience (preferably from hospitality or food and beverage industry.
Skills And Knowledge Desired
- Ability to communicate clearly (written and verbal) to interact with cleaning staff, technicians, customers and colleagues.
- Basic computer knowledge.
