Madinat Jumeirah Resort is looking to hire suitably skilled and devoted candidate for role of Transportation Administrator. As a job holder the candidate will be responsible to complete daily given task from management and ensure the efficient day-to-day operation of the office, support the work of management and other staff.
Responsibilities of Transportation Administrator
- Acting P.A. to the Transport department (HOD or Manager)
- Centre point of all Coordination with regards to CSI / Quality/ Training (This is in direct relation with the Training Officer), /Sales/ Engineering/ Stores, Purchasing, Human Resources, Finance, C & I, Confidential correspondence, guest correspondence etc
- Analyze, recommend, implement and evaluate streamlined processes, procedures, systems and methods for Transport transactional administration to maximize efficiency and effectiveness.
- Establish and maintain strong working relationships with colleagues and external agencies and suppliers.
- Solve typical colleague issues and answer questions related to policies and procedures.
- Monitor Time checks to ensure the accuracy is maintained on daily basis.
- Prepare documents, reports as required, also any task assigned for operational requirements, and coordinate with team leaders and team members to accomplish operational requirements.
- Handle confidential matters/ information with the appropriate level of sensitivity.
- Perform any related duties and special projects as requested.
- Acts as an intermediary between transport colleagues and other relevant departments (HR, Finance, Payroll etc)
- Assist the HOD in day-to-day project related & operational matters.
- To attend meetings whenever required – minuting meetings and communicating the same to relevant departments.
- Assist the manager/ HOD with all Excel/ Word/ Power point charts and presentations.
- Supervise Training Officer and ensure that all matters relating to Training office for Training nominations/schedules/ Monthly training reports are handled most efficiently.
- Liaise with all Section Heads with regards to public holidays/ Lieu Days/Vacation
- Purchase requests, raise the requests, maintain the files and follow up on pending requests.
- Follow up on the receipt of the monthly/yearly P&L statements and ledgers in a timely manner and distribute the copies to relevant department heads.
What You’ll Do More?
- To work in cooperation with Departmental trainers and training Officer to schedules their departmental induction plan in a timely manner.
- To review and ensure that the Section Heads update the SOPs/JD/SPPs on a regularly basis in Mercury.
- To liaise with Auditors and Section Heads during and after the internal and external audit.
- To liaise with Human Resources relating to all matters of Transport.
- To perform tasks given by the management to assist the department in jobs that might be beyond the parameter of your daily job responsibilities.
- To ensure Billing is accurate and submitted to Finance on time, Check for any discrepancies and address to the management.
- Update LD, P.H and attendance in the HR Links to be sent to HR.
- To assist with GSE duties if required.
- To check the Invoices, maintain necessary back up and records, to be sent to finance for approval and processing of payments.
- Perform overall job functions as required at this position.
- Ensure All admin related to Concierge handled (ordering stationaries / Flags)
- Handling Concierge E- butler / Guest Emails
Requirements of Transportation Administrator
- Diploma level ‘essential ’
- At least 1 year experience in a similar role Creativity
Skills and Knowledge Desired
- Spoken English (Essential).

- Tahweel, Ms Office (Essential), Opera, Amadeus.
