Service Administrator Al Masaood Abu Dhabi

Al Masaood is looking for high functioning individuals in Infiniti Showroom Building, Fatima Bint Mubarak Street (Formally Najda Street), PO Box 322, Abu Dhabi, UAE who are in line with the company’s vision to provide the best of services and products to their valuable clients and consumers. Service Administrator would have strong aftersales experience either in a service engineering background or automotive with an interest in providing application and solutions to segments including Marine, Power Generation, Industrial Power and Defense Vehicles. This is an Intermediate level full time job. And salary can range between 5000-12000 AED/month.

Responsibilities of Service Administrator

  • Ensure accurate and efficient completion of field service and workshop job processing tasks, including generating quotations, purchase orders, invoices, IFRS15 revenue recognition, credit notes and good receipt notes.
  • Service Manager and/or Supervisor must check all invoices before invoicing to ensure correctness.
  • Update WIP reports weekly.
  • Update Revenue forecast weekly.
  • Ensure complete and accurate job pack is received from technical teams to process job invoice.
  • Do job analysis with Service Manager post job to ensure what was quoted was invoiced and budget gross profit percentages were achieved.
  • Ensure all job related documents are fill on the server job folder structure for ISO compliance.
  • Receiving phone calls, enquiries and requests and handling them when appropriate.
  • Maintains office system, organizing, storing of paperwork, documents and computer-based information – filing of employee files and screening of documents and other related matters.
  • Liaising with staff in other departments and with external contacts.
  • The HR Department is responsible for handling all employee matters.
  • Pay or have paid all bills, visa applications, workshop rentals, etc., on/before time with correct documentation and file them appropriately.
  • Manage department petty cash according to company policy.
  • Make recommendations on improvements to administrative and operational systems.
  • Arranging meetings.
  • Undertake additional responsibility as required by Service Manger.

Requirements for Role of Service Administrator

  • A Bachelor’s Dgree in business administration, management, finance, or a related field.
  • 2+years experience in aftersales administration in an engineering/automotive company.
  • CRM experience, Autoline is a plus.

Skills And Knowledge Desired

  • MS Office skills.
  • Ability to work independently and in teams.
