The role of Senior Analyst Business Excellence at ADNOC is to support all required inputs from the business lines that facilitate business excellence management processes to prioritize resources, maximize the contribution and capture optimization opportunities within the Downstream industry, Marketing & Trading Directorate (DM&T). This includes business processes and procedures management, corporate procedures management, quality management and knowledge management. Coordinate and execute all the activities and improvements related to corporate quality, internal communications and change management portfolios. This including ADNOC Integrated Management System “IMS” to maintain ISO standards, certification and also facilitate ISO related audits in addition to Audit’s Management Action Plans. Assist in Enterprise Risk Management “ERM” activities to ensure effectiveness of resources, procedures and tools in the Directorate and reporting Group Companies. Job ID for this vacancy is 21876.

Duties Of Senior Analyst Business Excellence

DM&T Change Management

  • Facilitate Change Management Procedure awareness sessions and workshops with the Directorate assigned Focal Points to align with the corporate procedure and close audit action(s), if any.
  • Coordinate risk and mitigation plans and to participate in the development of solutions which add value
    to the business and increase the Directorate performance.
  • Create Change Management Request & obtain approvals from Risk Champion and concerned Owners.
  • Develop DM&T “Change Management Tracker” to capture all the made changes for record purpose.
    DM&T Quality Management
  • Coordinate overall ISO Certification process & documentations preparation and ensure implementation
    of IMS corporate procedures with the involvement of the Directorate assigned Focal Points.
  • Assist in preparing recommendations on quality management issues to facilitate quality achievement and performance improvement in the Directorate.
  • Establish Self-Assessment culture and single point of repository for saving records & auditing purpose.
  • Coordinate different levels of audits with ADNOC Corporate IMS and A&A teams in addition to the external audit (Third Party).
  • Ensure all the necessary documentations are well maintained and updated
    to achieve “Zero” nonconformity and obtain ISO 9001:2015 Certificate.
  • Consolidate Directorate communication plan & conduct workshops with DM&T assigned focal points.
  • Enrich Directorate’s SharePoint platform to ensure Knowledge Management across DM&T Functions.

DM&T Business Processes & Procedures Management

  • Perform the establishment and governance of the Directorate business processes and procedures development plan and implement best practices (such as APQC Framework and Process Modelling).
  • Coordinate and support the Directorate assigned focal points to improve and update their Functional/Divisional business processes and procedures to implement best practices.

Enterprise Risk Management

  • Perform the Directorate Functions’ risks uploading in the RSA Archer System. Ensure DM&T risks are regularly revised, mitigation plans are updated and approved in the RSA Archer System.
  • Prepare the Directorate monthly risks report and submit DM&T quarterly risks to ADNOC Corporate ERM team as per the agreed and communicated ERM calendar.
  • Coordinate with ADNOC Corporate ERM team on the operational issues related to the System, solve technical problems and propose areas of improvement for systems’ enhancement .
  • Participate in ERM periodical “Community” meetings as scheduled by Corporate ERM team to discuss
    accomplished achievements, ERM reporting calendar, new guidelines / initiatives and risks submissions.
  • Coordinate Alignment meetings with DM&T Leadership and assigned Focal Points to agree on Directorate quarterly reported “Top Risks” to obtain DM&T Executive Director’s approval.
  • Arrange for “Risk Symposium” with DM&T Asset Owners and their reporting Group Companies, in coordination with ADNOC Corporate ERM team, to discuss risk related issues and area of improvements to enhance ERM process, as and when required.

DM&T Customer Satisfaction Management

  • Coordinate and support in the implementation of external Customer Satisfaction Survey (CSS) process
    in the Directorate to better serve its customers and meet their expectations.
  • Assist in the development of CSS: plan, scope, questionnaire, invite communication and update the
    existing customers list in coordination with DM&T relevant sales teams.
  • Arrange brainstorming sessions with assigned Focal Points to prepare CSS scope and questionnaire.
  • Moderate weekly meetings with assigned team(s) to follow-up CSS progress and answer clarifications.
  • Develop CSS actions plan “Tracker” based on received recommendations and ensure their timely closure (with coordination with DM&T relevant sales teams) for future process enhancement.

Audit Actions Management

  • Support the Directorate assigned focal points by conducting discussion and clarification meetings with appointed Auditors, reviewing developed evidences and providing ISO documents to Internal Audit Team to validate and timely close their audit actions.
  •  Report the Directorate Audit closed actions and achieve its monthly performance KPI as per scorecard.
  • Process and coordinate the Directorate audit action(s) target date extension request(s) and obtain DM&T Executive Director approval, as and when required.
  • Assist the Directorate assigned focal points in uploading audit actions evidences/documents in the “Audit management System” for Internal Audit Team approval, as and when required.
  • Responsible for the Directorate audit actions closure related to ISO & providing required documents.

DM&T Management Support

  • Execute special tasks as assigned by SVP, VP and Line Manager to support the Executive Director.
  • Provide support to the Executive Director as needed and instructed by SVP, VP and Line Manager.

The eligibility requirements for the role of Senior Analyst Business Excellence are as under:

  • Bachelors degree in business or equivalent.
  • 5 years of experience in similar role.
