About the Role

The Secretary at Al Ain University‘s Abu Dhabi campus plays a key role in supporting executive operations and ensuring effective administrative coordination across the institution. This position reports to a senior executive and is responsible for managing correspondence, scheduling, and communication with internal and external stakeholders. Furthermore, the Secretary acts as a professional liaison between the executive office and other university departments, maintaining a positive and welcoming environment. Moreover, the role requires a UAE National with strong organizational skills, a professional demeanor, and a commitment to high-quality service delivery.

Key Responsibilities

• Facilitate efficient use of the executive office by managing calendars, appointments, meetings, and social engagements.
• Prepare correspondence for distribution and approval, checking all documents for completeness and accuracy.
• Coordinate the flow of incoming and outgoing communications by receiving, routing, and responding to calls in a professional manner.
• Attend meetings and record accurate minutes for distribution to relevant stakeholders.
• Prepare reports, documents, and presentations as requested by management.
• Promote a positive university image by greeting and assisting visitors in a professional and courteous manner.
• Serve as a liaison between the executive office and other university staff departments.
• Handle all enquiries about the university professionally and courteously, whether in person or by phone.
• Manage confidential documents and records with discretion and attention to detail.
• Undertake all other duties assigned by the immediate supervisor as required.

Requirements

• Bachelor’s degree in a relevant field (Business Administration, Office Management, or equivalent).
• UAE National (Emirati) candidate is required for this position.
• Proficient user of Microsoft Office suite including Word, Excel, and PowerPoint.
• Strong communication skills with a courteous and professional personality.
• 2–3 years of related experience; fresh graduates are also welcome to apply.
• Ability to maintain confidentiality and handle sensitive information with discretion.
• Excellent organizational and multitasking skills in a fast-paced environment.
