About the Role
The Reception Clerk / Administrative Assistant at Aspen Medical Middle East will work closely with healthcare professionals and other staff to ensure smooth clinic operations and compliance with evidence-based contemporary guidelines. Moreover, this role involves contributing to clinical governance, maintaining quality and safety standards, and supporting continuous quality improvement initiatives across the organisation. The position is deployed within the UNSOS mission area in Somalia, with the recruiting entity based in Abu Dhabi, UAE. Furthermore, the successful candidate will play a vital role in supporting front-desk operations and patient information management in a high-impact humanitarian environment.
Key Responsibilities for Reception Clerk / Administrative Assistant
- Provide administrative support to healthcare professionals, ensuring all documentation and records are properly maintained and compliant with clinical governance standards
- Assist in managing patient appointments and ensure timely, efficient processing of patient information with strict confidentiality
- Coordinate with healthcare teams to ensure patient records are updated accurately and promptly, reducing the risk of errors in care delivery
- Monitor clinic facilities for cleanliness and safety, ensuring adherence to infection control and safety regulations
- Maintain inventory of office supplies and medical forms, ensuring necessary materials are available and compliant with safety standards
- Support the implementation of quality improvement measures to enhance patient satisfaction and operational efficiency
- Help identify areas for improvement in front-desk operations, patient flow, and documentation practices
- Assist in audits and reviews of administrative procedures to ensure compliance with UNSOS policies and relevant health regulations
- Support the training of new administrative staff in proper procedures including patient handling, confidentiality, and documentation standards
- Promote ethical behaviour and alignment with Aspen Medical’s Social Purpose and B Corp principles
Requirements
- A minimum of a high school diploma with 3 years of clerical, secretarial, or office experience
- Proficient computer skills, including Microsoft Office suite
- English proficiency at a minimum of Level B2
- Experience in international, humanitarian, or conflict-zone healthcare settings (desirable)
- Ability to handle sensitive and confidential information with discretion and professionalism
- Strong attention to detail with ability to maintain accuracy in administrative tasks
- Willingness to work flexible hours including weekends, holidays, and night shifts (24/7 operations)
