Duties of A Purchasing Admin

  • Collaborates with the Assistant Manager / Manager and the team to procure First in class products and services, aligning with specified requirements.
  • Manages and processes purchase requests, ensuring competitive quotations, delivery dates and specifications are obtained, maintaining the Industry Leading standard.
  • Works closely with the Finance Team to ensure budget compliance and vost effectiveness, embodying FIVE’s Visionary approach.
  • Manages the timeliness of the ordering process, overseeing material requisition to order placement.
  • Takes a proactive approach to coordinating with various departments to understand their specific purchasing requirements.
  • Provides remarkable support service to all departments to arrange materials and services, support on event management, and logistics.
  • Closely monitors all suppliers and employs a Systematic Approach to monitoring supplier compliance.
  • Conducts periodic site visits to monitor work progress and performance of suppliers and contractors, showcasing a commitment to next level standards.
  • Develops relationships with Vendors and Business Partners to form effective, ‘FIVE-Styled’ cooperation.
  • Exquisitely manages relationships with suppliers, addressing any issues promptly and ensuring FIVE’s Gold standards are met.
  • Addresses and resolves any issues or challenges that may arise, maintaining FIVE’s Award winning standards.
  • Keeps all relevant departments and line managers informed about any issues pertaining to purchase orders and contracts, taking Visionary Measures to implement corrective action.
  • Demonstrates sensational teamwork by working closely with ‘FIVERs’ in other Departments.
  • Uses quarterly and annual data to determine purchasing and Inventory needs, ensuring FIVE maintains their leading position in the industry.
  • Quickly and enthusiastically supports the Head of the Department with various Administrative Duties.

Requirements for Role of A Purchasing Admin

  • A Bachelor’s Degree in Business, Supply Chain Management, Economics, or a similar field is preferred.
  • A minimum of 1-2 years of experience in hotel purchasing or a similar role, showcasing a proven track record of success in the profession.

 Skills And Knowledge Desired

  • Computer literacy, with a mastery of Word, Excel and Outlook.
  • A Proactive Nature, coupled with a meticulous eye for detail, ensuring every aspect of operation is curated to perfection.
  • Excellent interpersonal skills, leveraging strong verbal and written skills to engage effectively with guests, FIVE Members and stakeholders.
  • Impeccable communication skills, both verbal and written, with fluency in English (additional languages are a plus).
  • Next level organisational and time management skills, effectively leading the FIVE to new heights.
