Seddiqi Holding is looking for a Property Executive for their properties division at Umm Al Sheif, Dubai, UAE who will be responsible for end-to-end coordination towards all aspects of leasing and property management support in relation to the assigned SP managed properties. This is an intermediate level and Contract (5 months) role with salary ranges from 6000 AED to 15000 AED per month.

Responsibilities of Property Executive

  • Contract Management: Create a new tenant account in the system by entering accurate information.
  • Ensure all new/renewal lease documents are collected for on boarding new tenants and renewing existing tenant contracts.
  • Generate lease documents (Ejari Tenancy contract; lease terms and conditions and addendums), invoices and receipts for new and renewal tenants with utmost accuracy.
  • Collect all payments and send lease documents for signature on time.
  • The Property Operations Executive liaises with Senior Accounts Officer to ensure delivery of all payments for processing.
  • Monitor renewals monthly by extracting information from the system. Complete monthly renewals with relevant RERA & Market data and obtain approval as required.
  • Prepare and obtain approval for Renewal Notices on the system, then follow up on notices to ensure renewals are completed on time.
  • Track monthly renewals, relay notices and provide analyzed recommendations with careful consideration of the market trends and/or RERA index to obtain subsequent approvals.
  • Monitor and ensure the collection of expired documents related to leases. Additionally, oversee expired contracts to ensure appropriate actions are taken promptly.
  • To ensure tenants are informed of all obligations and next steps, actively manage early and end of tenancy contract termination.

What you will do more

  • Property Management Operations: Seek appropriate support and advice from line manager, senior management, brokers, industry experts. And specialist realtors where necessary to diagnose and resolve complex issues.
  • Preparation of operational & circumstantial approval forms for tenant requests with analyzed recommendation to ease decision making.
  • Coordinate with tenants on any requests by communicating effectively by email & phone & escalate any matters to the PM where needed.
  • Draft memos, letters & violation notices in a clear and professional manner, ensuring a positive and responsive experience.
  • Demonstrate effective communication, especially when delivering challenging messages & make courteous and effective phone calls to tenants, addressing lease-related issues.
  • Maintain accurate records of all leases and tenant information on the system.
  • Create and manage tenant files to establish a complete audit trail for reference.
  • Provide ad hoc assistance with various administrative duties as needed.
  • Establish excellent customer relationships with all residents (existing and prospective) by sending regular updates and communication in a professional manner even when delivering difficult messages.
  • Organize handover and departure inspections with the Tenant, Leasing and Facility management Department.
  • In liaison with the facilities team, evaluate and arrange all tenant departure documents including repair estimation and utility closure clearance for processing of deposit and/or rent refunds

Legal Responsibilities

  • Prepare documents required for tenants with a breach of contract such non-renewals, bounced cheques and liaise with Legal department.
  • Mitigate risks in the legal cases by ensuring timely follow-up and action taken on returned payments, non-renewals, expired leases and other contractual breaches.
  • Responding to emergencies taking necessary reactive measures in liaison with Facilities Department and Line Manager
  • Reporting & Data: Maintain effective and comprehensive trackers that branch out and provide meticulous updates including but not limited to residential. And commercial occupancy movements, legal case progress, tenant retention, renewal negotiations, rent loss for vacancies, discounts and bad debts.
  • Keeps accurate and up to date all data points relevant to all processes directly involved in as directed by the PM.
  • General Duties & Other Activities:
  • Provide ad hoc input to the PM with the implementation of new projects/ strategic initiatives in line with the short, medium- and long-term plans/strategic initiatives related to job scope within the approved strategy and objectives.
  • Adhere to and ensure compliance with the relevant department Delegation of Authority Matrix & SOPs & recommend improvements to line manager as and when required.
  • Support the PM with inputs to new policies and restructuring existing policies and procedures & tenant documents related to Property Management
  • Contribute to a Customer Centric approach by participating in various activities and programs such as, team building activities, training of the team, internal and external learning and creative thinking workshops & surveys (customer journey mapping)

Requirements for Role of Property Executive

  • Bachelor’s degree or equivalent in administration.
  • 1-3 years job related experience and 2 Years’ experience in a Real Estate Administrative Position.

Skills And Knowledge Desired

  • Good verbal and written communication skills in English.
  • Real Estate Laws and RERA. Understanding of best practice leasing procedures, document and data management.
