Job Description
The Operations Officer at Saeed & Mohammed Al Naboodah Group will be responsible for monitoring performance of the department functions. The person who assumes this role will be responsible for ensuring that all staff adhere to the policies and procedures set, and will report to the management the performance of the property portfolio in all aspects of operations.
Responsibilities of Operations Officer
Budget and Performance Management as Operations Officer
- Assist in the preparation and consolidation of the annual property budgets, with inputs from Property Coordinators and Head of Property.
- Report and analyze monthly performance and budget projections and compare to annual management plans and budget, adjust strategies accordingly.
- Report on renewals, outstanding renewals, outstanding collections and assist and follow up with the Property Coordinators on achieving renewal targets.
Asset Management
- Assist in the acquisition, disposal and registration of properties as and when required by the Company.
- Assist in the Consultant Procurement and Delivery process (asset management, valuation, feasibility study etc.) ensuring compliance with the existing procedures and processes, the contractual timelines and the approvals provided by the Company.
- Prepare scope of works, request for proposals and tender analysis and recommendations and manage successful delivery of scope of works.
- Assist in the procurement, implementation and integration of a Leasing System (or Property Management Software) to run the property management functions.
Portfolio Operations as Operations Officer
- Develop, maintain and update the Standard Operating Procedures for the Department. Ensure compliance of all SOPs with the Company’s policies and procedures.
- Assist the Operations Manager, Head of Property in developing and implementing the SOPs across the entire Department functions.
- Coordinate with the Finance department in all aspects related to the property accounting of the portfolio (collection, renewals, occupancy/vacancy reporting etc.).
- Monitor and evaluate the day-to-day operations of the Property Management department, liaise with relevant statutory authorities, ensuring compliance with Company policies and laws.
- Report to the Head of Property ongoing issues and propose implementation measures to reduce costs, improve efficiency and maximize revenues.
- Oversee the Customer Service process (communications/query attendance etc.) ensuring compliance with existing procedures and processes and maintaining effective relationships with investors, tenants, real estate agents and local authorities/community partners.
- Assist in the Lease Administration process (new leases/renewals or termination etc.) ensuring compliance with the existing leasing procedures and processes, the contractual timelines and the approvals provided by the Company.
- Ensure payment collection and refunds from/to tenants are completed in line with the lease terms and the lease administration processes.
- Monitor the Property Leasing process (viewing/leasing/negotiations/agency tie-ups/marketing etc.) ensuring compliance with existing property leasing procedure and processes, current laws and regulations, and the approvals provided by the Company.
- Provide guidance and motivate Property Management staff to achieve results, both at the property level and at the management office. Ensure that they adhere to the company policies and procedures.
- Coordinate with the Legal department in all aspects related to property accounting for legal cases (collection, bounced cheques, termination calculations, end of lease etc.).
- Promote communication and collaborations between departments.
- Work with staff to ensure maximum use of Leasing System (property management software).
Reporting and Analysis
- Prepare and present departmental reports (weekly/monthly/yearly) relating to Portfolio performance, goals, standards, benchmarks, etc.
- Update on weekly basis, the vacancy/upcoming vacancy reports and the outstanding renewals/collections report.
- Monitor market conditions regularly and communicate to Head of Property any market changes that need to be addressed.
- Monitor market rents as they pertain to setting organization’s property rents.
Requirements for Operations Officer
- Graduate degree in any related field, or equivalent combination of education and work experience.
- 3-5 years of experience in real estate or property management in any of the reputed organizations.
Skills Desired
- Extensive knowledge of local rules and regulations in the real estate market.
- Strong customer service skills and the ability to manage situations promptly and professionally, meeting commitments for service and assistance.
- Able to maintain effective communication at all times.
- Contributes to building a positive team spirit and puts success of team above own interests.
- Analyze situations, identify problems, and recommend solutions.
- Compile and analyze complex data.
