Job Description
Officer Admin at GAL will provide administrative support to ensure efficient operation of the office. Support Program Manager through a variety of tasks related to organization and communication. Candidate will be responsible for confidential and time sensitive material. Familiar with a variety of the field’s concepts, practices and procedures. Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner.
Responsibilities
- Oversees and administers the day-to-day activities of the office; develops policies, procedures & systems which ensure productive and efficient office operation.
- Provides assistance and support to the office principal in problem solving, project planning and management and development and execution of stated goals and objectives.
- Oversees and facilitates resources management and administration procedures and documentation for the Program Manager.
- Performs research and analysis on specific issues, as required and independently prepares non-routine letters and/or reports, which may be highly sensitive and confidential in nature.
- Serves as the primary point of administrative contact and liaison with other offices, individuals and institutions on operational and programmatic matters concerning the Office.
- Organizes and facilitates meetings, conferences and other special events; coordinates and attends committee meetings and participates in committee discussions, as appropriate.
- Oversees the operation of petty cash accounts & plans & monitors expenditures; as appropriate, develops.
- Provides assistance in the understanding and interpretation of organization and End-User’s policies and procedures, as appropriate and ensures that office operations are in compliance with policy provisions and standards.
- Assists in the coordination, supervision and completion of special projects, as appropriate.
- Collect data and prepare reports as requested by the PM.
- Develop and maintain tracker for incoming and outgoing communication from the PM and Base.
- Generate including and not limited to minutes of meeting, letter, memos and reports.
- Act as focal point for communication between the base and the HQ.
Requirements for Role of Officer Admin
- Diploma/Bachelor Degree in Business Administration or related form a university or institute.
- Minimum of 5-10 years of experience in admin office.
- Experience in dealing with Military.
