Job Description

Government Relations Executive/Admissions Secretary at GEMS Al Barsha National School is responsible to organizeĀ and manage the admission procedures of students in order to maintain school specific enrolment budget consistently throughout the academic year. Ensuring all students are registered in accordance with the GEMS Enrolment Process and the specific governing body (such as KHDA).

Duties of Government Relations Executive/Admissions Secretary

Admissions Secretary:

  • Update, maintain and manage the student information OASIS database, including all non mandatory fields, ensuring that up to date information is available on a daily basis.
  • Support the Registrar to ensure annual enrolment processes such as; Parent School Contract and registration of students, is completed within the agreed timetable.

  • Work closely with the Government Relations Executive (GRE) to ensure all Transfer Certificates received for new students meet the requirements of the governing body, students are registered in a timely fashion, outgoing TCs are processed efficiently and visa and passport information is up to date continuously throughout the academic year.
  • Maintain and create files for all new applicant, new students, current student, exiting students and alumni and complete all exit documentation for students withdrawing from the school.
  • Perform other duties as requested by direct and dotted reporting line managers/supervisors.

Government Relations Executive:

Student Registrations

  • Should always have updated information about student registration procedures and required documents.
  • Plan and organize student registrations, coordinate with parents regarding required documents.
  • Should be able to register all the school students with the Education Authorities within agreed timelines.
  • Ensure the submission of the end of year results, studentsā€™ promotion & transfer within an agreed time frame.

Education Authorities of Government Relations Executive/Admissions Secretary

  • Keep up to date within Ministry/ Authority regulations and procedures and update the MSO/ Principal/ Manager GR about changes in policy and compliance if any.
  • Establish effective communication and develop relations with Education Authorities, Government ministries and offices.
  • Apply for student school trips/ annual diary etc. with authorities to obtain approvals well in advance (Agreed timelines).
  • Translate promptly all rules, regulations and circulars in English for the school management.

School Parent Contract (Only for Dubai Schools)

  • Apply for the fee structure approval and contract approval with Education Authorities.
  • Ensure the efficiency of sending information & invitations to the parents to sign the contract in conjunction with the school management.
  • All the contracts to be signed within an agreed deadline.

General Responsibilities of Government Relations Executive/Admissions Secretary

  • Maintain and update records regulating & maintaining trackers to show progress.
  • Embrace and encourage the ethos and standards of excellence as defined in the GEMS Core Values.
  • In association with ICT support, compile and generate Ministry required student records (manual or online records).
  • Attend staff meetings and serve on committees as required.
  • Perform other duties as requested by direct and dotted reporting line managers/supervisors.

Job Requirements of Government Relations Executive/Admissions Secretary

  • Bachelorā€™s degree in a relevant field, such as Education Administration, Public Relations, or Communications.
  • Minimum 2 year experience in similar role.

Skills & Knowledge Desired

  • Strong communication skills with excellent standard of written and spoken English.
  • Excellent ICT skills desirable.
  • Able to handle a range of tasks, work under pressure and relate well to children and colleagues.
  • Solid time management skills.
  • Analytical thinking.
