Seddiqi Holding is looking for a Facilities Executive in Umm Al Sheif, Dubai, UAE who will be responsible for providing on site & off site support to the FM operations team. Candidate will handle customer calls, raise maintenance tickets, prepare FM reports, and consumption charts, and follow specific FM instructions from the line manager in arranging data, reports, and close-out of tickets. The Candidate will manage the end-to-end process of the ticketing system and ensure that the CAFM system is updated with accurate data. This is an Intermediate level full time job. And salary can range between 8000-17000 AED/month.

Responsibilities of Facilities Executive

  • Attending and managing customer complaints.
  • Ensuring that all their properties comply with statutory regulations including health and safety regulations.
  • Ensuring that the reactive tickets are closed only after filling in the appropriate/actual data as per the service provider report.
  • Keep reminders for PPM tasks as per the annual PPM calendar.
  • Check all the PPM & reactive task sheets for any errors & historical data related to each asset is updated.
  • Manage & keep the CAFM system and master data always updated.
  • Manage tenant expectations by arranging timely attendance to all their complaints. Get feedback from the tenants on the completed work.
  • Prepare monthly FM reports with key trends/ consumptions.
  • Ensure that all the statutory regulations are compile with for the building.
  • Coordinate with internal clients / Property Team / Corporate services team to handle all complaints effectively, arranging to give proper feedback.
  • Keep track of regular and ad-hoc facility expenses.
  • Arrange Kick-off Meetings along with FE & Service Provider/Subcontractor and follow up to complete Kick-off Documents requirements.
  • Conduct market research or gather information for the tasks given by the line manager.
  • Coordinate with the Subcontractor/Service Provider & Helpdesk team to book an appointment with the customer for the PPM/Reactive/Proactive/Variation job.
  • Arrange a proposal as and when requested by the Facility Engineer based on the scope of work shared and raise PR/PO in the system.
  • Collect the work completion report/Warranty Certificate and initiate GRN in the system.

Requirements for Role of Facilities Executive

  • Bachelor’s degree or equivalent in Business Administration or Management, Real Estate or any related fields.
  • 3-5 years job related experience in facility maintenance in an administration and coordination role or customer support.

Skills And Knowledge Desired

  • English Good verbal and written communication.
  • Good understanding of building property maintenance, methodologies and processes.
  • Knowledge of helpdesk/CAFM system, tools and procedures for office maintenance, office & facility management is a plus.
