Cleveland Clinic Abu Dhabi is seeking an Executive Health Coordinator for their talented team. This position is responsible for coordinating patient related needs and facilitated access for Executive Health (EH) Patients. This role is accountable for a broad range of patient access and scheduling responsibilities, including interfacing with contracted entities for coordination of employees, support for outreach events, and the day to day communication for EH inquiries. The coordinator ensures high efficiency and service excellence by maintaining seamless patient access and flow of patients with the goal on increasing EH volumes.

Responsibilities of Executive Health Coordinator

  • Serves as primary liaison and coordinator for Executive Health patients.
  • Monitoring, management and coordination of EH calendar for scheduling patients.
  • Attends to all phone calls and email queries in relation to the program/services/costs/final bills/ prescriptions/referrals/follow-ups via the contact center, EH mobile phone or direct referrals.
  • Attends to the Executive Health mailbox daily.
  • Shares patients itineraries and cost estimates with both the patients and EH team members and collaborates closely with the Patient Access Representatives.
  • Prepares patients medical questionnaires for nurses to make clinical calls to the patients.
  • Completes confirmation calls prior to visits and updates any changes/rescheduling/cancellations to team.
  • Monitors completion of Deposit Fee payment for each EH patient prior to scheduling involves liaising closely with financial councellors.
  • Attends multiple outreach events throughout the year that allow for scheduling of a high number of patients (excluding during Covid).
  • Monitors preparation of EH patient itineraries and care plans during their appointment.
  • Organizes and books external referrals for patients if needed i.e. Healthpoint (for women’s health) and Orthopedic.
  • Documents monthly volume of completed visits and yearly follow-up of EH patient visits.
  • Manually collects all required EH data via the EH Tracker (Sharepoint) inquires, source, status, scheduling, discharge, retention.
  • Strives to continually improve Executive Health access and ensure the highest quality of service and hospitality.

What you’ll do as Executive Health Coordinator

  • Facilitate coordination of the best medical care and hospitality services provided through all functions of Executive Health Department for CCAD patients, their families and patient referral sources.
  • Liaise closely with all CCAD staff and communication between patient and CCAD physicians and medical staff.
  • Support the managers and the director to identify and implement potential initiatives and strategies to enhance CCAD’s Executive Health capabilities and effectiveness.
  • Gather patient statistical data in terms of demographics, institutes accessed and other volume data as requested.
  • Act as a cross functioning team member with the philosophy of teamwork and flexibility in the Executive Health Department that reinforces “Service Excellence”.
  • Partner with key stakeholders including Patient Access, Physicians, Nurses, Clinical Operations, Patient Experience, Pricing and Patient Support Services to optimize and enhance the clinical care coordination, access, patient flow and concierge services offered to Executive Health patients and their families to ensure highest patient satisfaction.
  • Collaborate with Strategic Alliances Division initiatives to support the relationship development with CCAD’s key accounts and strategic referral partners locally, regionally and internationally for Executive Health patient referrals.
  • Support the initiation and implementation of new products and services to grow CCAD’S Executive Health portfolio.
  • Support the community by participating in CCAD sponsored events and programs.
  • Maintain a safe facility that meets the requirements of all health and safety regulatory standards.
  • Maintain ongoing dialogue and collaborative relationships with other caregivers in other departments to continually improve performance and processes.
  • Ensure all key performance indicators are met.
  • Perform other duties as assigned.

  • Bachelor’s Degree in Health Care, Business Administration or related field.
  • Minimum of (3) years of experience in healthcare, hospitality or customer service.
  • Health care or hospitality industry experience is preferable.
