About the Role
The Executive Assistant at American University in Dubai will provide high-level administrative and organizational support to the Provost and Chief Academic Officer. Furthermore, this role involves managing calendars, coordinating meetings, preparing reports, and serving as a liaison between the Provost’s office and various academic and administrative departments. Moreover, the Executive Assistant will handle confidential materials and ensure the smooth operation of the office.
Key Responsibilities
- Manage the Provost’s calendar, schedule meetings, and coordinate travel arrangements
- Prepare correspondence, reports, presentations, and official communications on behalf of the Provost
- Coordinate and support academic governance meetings including agenda preparation and minute-taking
- Serve as the primary point of contact between the Provost’s office and internal and external stakeholders
- Monitor and follow up on action items and deadlines from meetings and strategic initiatives
- Maintain organized filing systems for confidential documents and records
- Support the planning and execution of academic events, ceremonies, and special projects
- Develop and maintain positive working relationships across all university departments
- Contribute to process improvements in office administration and communication workflows
Requirements
- Bachelor’s degree in Business Administration, Office Management, or a related field
- 3+ years of experience as an Executive Assistant or senior administrative role, preferably in higher education
- Excellent English communication skills, both written and verbal; Arabic language skills are an advantage
- Proficiency in Microsoft Office Suite and calendar management tools
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines
- Discretion and professionalism in handling confidential and sensitive information
