Responsibilities of Document Controller

  • Establish and maintain document control procedures and systems to manage company documents and records effectively.
  • Receive, log, and track incoming and outgoing documents, including emails, faxes, and hard copies.
  • Ensure that all documents are accurately labeled, filed, and stored in accordance with company policies and procedures.
  • Organize and maintain electronic and physical document repositories, ensuring easy access and retrieval of information.
  • Coordinate the review, approval, and distribution of documents to relevant stakeholders, both internally and externally.
  • Monitor document changes, revisions, and updates, and maintain a log of document versions and revisions.
  • Assist in the preparation and formatting of documents, reports, and presentations as needed.
  • Respond to inquiries and requests for information from employees and external parties regarding document status, location, and availability.
  • Ensure compliance with document control standards, regulations, and industry best practices.
  • Perform regular audits and inspections of document control systems and procedures to identify areas for improvement.

Requirements for the role of Document Controller

  • Bachelor’s degree in business administration, information management, or a related field.
  • Proven experience of 1-2 years as a document controller or in a similar role.

Skills and Knowledge Desired

  • Proficiency in document management software and systems.
  • Strong organizational and time management skills.
  • Attention to detail and accuracy in record keeping and document management.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and collaboratively in a team environment.
  • Knowledge of document control standards and regulations is prefer.
  • Fluency in English; knowledge of additional languages is a plus.
