Responsibilities of Document Controller
- Establish and maintain document control procedures and systems to ensure the accuracy, integrity, and security of company documents
- Receive, record, and track all incoming and outgoing documents, including contracts, agreements, drawings, specifications, and correspondence
- Organize and maintain electronic and physical document repositories, ensuring proper version control and accessibility for authorized personnel
- Review documents for completeness, accuracy, and compliance with company standards and regulatory requirements
- Distribute documents to relevant stakeholders and departments in a timely manner, following established distribution lists and protocols
- Assist project teams and departments with document retrieval, retrieval, and archiving as needed
- Generate reports, logs, and summaries of document control activities and metrics as required
- Train and support team members on document control procedures, software, and best practices
- Collaborate with internal and external auditors, regulators, and stakeholders to facilitate document reviews and audits
- Ensure adherence to document retention policies and procedures, including disposal and destruction of obsolete records
Requirements of Document Controller
- Bachelor’s degree in Business Administration, Information Management, or a related field preferred
- Proven experience of 1-2 years as a Document Controller or similar role in a fast-paced environment
Skills and Knowledge desired
- Proficiency in document management software and systems, such as SharePoint, Documentum, or similar platforms
- Strong attention to detail and accuracy in data entry and record-keeping
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines
- Effective communication and interpersonal abilities, with the ability to collaborate with cross-functional teams
- Knowledge of document control principles, standards, and best practices
- Familiarity with regulatory requirements and industry standards related to document management and information security
- Ability to maintain confidentiality and handle sensitive information with discretion
- Flexibility to adapt to changing priorities and work independently with minimal supervision
