Job Description

The B2B Sales Coordinator is responsible for supporting the business-to-business sales team by handling the administrative and coordination tasks required for efficient and successful project and client management. This role ensures that all quotations, approvals, project leads, and client communications are properly tracked, documented, and followed up on. The B2B Sales Coordinator also manages the CRM system, keeps an up-to-date record of all open opportunities, and arranges key meetings and client visits for the B2B sales team.

Key Responsibilities

Quotations & Approvals

  • Manage and track all open quotations, from creation to client follow-up.
  • Upon receiving an LPO (Letter of Purchase Order), coordinate the process of obtaining specification sheets, sample approvals, and drawing approvals.
  • Ensure all filing, documentation, and approvals are properly recorded and up to date.

Project Lead Generation & Tracking

  • Monitor databases of upcoming projects within the region/country.
  • Make initial outreach calls to identify relevant contacts, project stages, and potential business opportunities.
  • Pass qualified leads to the respective B2B Sales or Business Development Manager.
  • Maintain a comprehensive log of all leads, their status, and next steps.

CRM Management

  • Own and maintain the CRM software, ensuring all client interactions, quotations, project details, and follow-ups are accurately recorded and updated.
  • Generate regular status reports and sales forecasts from the CRM to support strategic decision-making.

Client Follow-Up & Relationship Management

  • Proactively follow up with clients regarding open quotations, gathering feedback and determining next steps.
  • Coordinate with internal teams (e.g., technical, operations) to address client questions or concerns.

Calendar & Meeting Coordination

  • Arrange and manage the schedules of B2B managers, ensuring timely client visits and internal meetings.
  • Prepare necessary documentation or materials for client-facing appointments.
  • Track and confirm client meetings, sending reminders and updates as needed.

Documentation & Reporting

  • Maintain organized and accessible records of all sales activities, client communications, and project statuses.
  • Compile and submit regular reports on quotations, leads, and project progress to the B2B Manager and relevant stakeholders.

Qualifications & Requirements

  • Bachelor’s degree in Business Administration, Marketing, or a related field preferred.
  • 2+ experience in a coordination or administrative role, ideally within sales, B2B, or project-based environments.
  • Proficiency in using CRM systems and Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong communication skills (both written and verbal) to liaise effectively with clients and internal stakeholders.
  • Excellent organizational and multitasking abilities, with keen attention to detail.
  • Ability to proactively follow up and anticipate potential issues or delays in the sales process.
