Job Description
The Associate Head of Academic Appointments at MBZUAI is responsible to supports the Head of Academic Appointments on all academic appointments activities and processes to ensure the academic success of faculty and research staff within the faculty departments. This includes, but is not limited to faculty recruitment, faculty appointment, re appointment, tenure, promotion, faculty, and research staff performance reviews, post tenure review, sabbaticals, and academic hiring processes. The Associate Head of Academic Appointments leads continuous operational improvement to deliver high quality, equitable service, which includes defining methods of data collection and analysis to inform operational improvement, assessing and recommending IT solutions to advance strategic priorities, and leading the adoption of new and evolving policies, processes, and technology.
Duties of Associate Head Academic Appointments

Assisting in the preparation of the annual faculty hiring plan.

Overseeing the recruitment process and ensuring compliance with policies and procedures.

Collaborating on initiatives to enhance recruitment resources and improve the onboarding experiences for faculty and research staff.

Managing day to day transactions for faculty lifecycle, such as appointments, promotions, tenure, leaves of absence, and terminations.

Reviewing and evaluating appointments to ensure compliance with relevant policies and processes, and consistent application of appointment types across the university and over time. Escalating complex or unusual cases to the Head of Academic Appointments.

Serving as a content expert on appointment types and processes, providing advice on complex cases to Department Chairs

Monitors transaction volume and processing timelines throughout the year to ensure timely processing of appointments.

Identifies recurring issues and looks for patterns, works to understand root causes, and develops resources or works with relevant stakeholders to address and resolve problems.Assist with interpretation of policies outlined in the MBZUAI Faculty Handbook and MBZUAI guidelines.

Represents the Departments through participation in Academic Appointments related meetings, discussions, and search committees.

Serve as the primary contact to advise staff within the Departments on academic policies and procedures.
What will You Do More

Oversee the on boarding and offboarding process for new faculty joiners in the Departments.

Maintains accurate records and databases across multiple IT systems, understanding how those systems relate to each other and reconciling data across systems.

Defines and implements proactive methods to identify and address data issues such as missing data and discrepancies.

Utilizes data analysis to identify trends, anticipate needs, and provide informed insights to guide decision making and actions.

Fulfills data verification requests (e.g., appointment history)

Manages compensation related issues, including pay adjustments, supplemental pay, and troubleshooting pay discrepancies. Collaborates with HR Payroll to address and resolve pay issues effectively.

Support organization, planning and execution of faculty orientation events.
Job Requirements of Associate Head Academic Appointments
- Bachelor’s degree in business or human resources, or a related discipline, or equivalent combination of education, training, and experience.

Minimum of eight years of work experience providing comprehensive client focused HR services in the Higher Education sector.

Strong knowledge of Microsoft suite, Interfolio and HRIS experience either with ADERP or a similar system.
