A technical school in Al Ain is seeking for Administrative Supervisor. The organization is focused on developing well qualified and professionally skilled 16–18 year old youths by providing the necessary educational training and skills for a successful career in today’s world. This position requires a candidate with a solid background in human resources, excellent communication skills, and the ability to efficiently coordinate and provide support across various organizational levels.

Responsibilities of Administrative Supervisor

  • Coordinating closely with the accountant, procurement, IT, store officer, reception, workshop coordinators, and career instructors to take note of their concerns, keep a general overview of their daily work, monitor the smooth functioning of all positions, and report status to Executive Team.
  • Providing administrative and operative support where necessary.
  • Coordinating and cultivating relationships with parents (particularly based on shared Arab language).
  • Develop agenda, attend meetings, type minutes & disperse information for various committees.
  • Order & oversee catering for various meetings.
  • Draft letters and official correspondences to the concerned part as per direction.
  • Prepare PR requests and initiate the purchase process .
  • Follow up with the procurement officer on pending orders and approvals
  • Following up with hiring process for each new joiner.
  • Providing logistical support when staff is settling.
  • Developing and supporting in new joiners’ induction program and start up process.
  • Assisting with employee relations.
  • Supporting all visa processes and monitoring expiration dates to ensure that Center complies with the rules.

What Will You Do More

  • Facilitating the staff’s enrolment in government programs such as emirates ID, compensation program, and police records.
  • Register staff in TARASOL and ADEK.
  • Coordinating and monitoring annual leave records.
  • Maintaining attendance reporting and recording.
  • Maintain sick leave and medical insurance administration and logistics.
  • Maintaining complete and up to date records of employee files and HC filing system.
  • Maintaining payroll calculations and deductions.
  • Maintaining end of service calculations.
  • Maintaining benefits and ticket administration.
  • Supporting the HoD (Head of Department) Admin in all personnel matters including staff allocation and transfer, interpretation and application of rules and regulations, staff benefits and re numeration package.
  • Assisting with the day to efficient running of HR operations.
  • Preparing internal reports for management; participating in staff planning processes as required.
  • Developing and preparing special management studies, surveys, statistics, and a variety of other reports, if necessary.
  • Developing and/or supporting the development of manuals, procedural guidelines, and similar documentation; may conduct in service training as required.
  • Ensuring that official correspondence and mailing procedures are adhered to and that complete, accurate, and up to date records of all personnel are kept.
  • Formulating procedures for systematic retention, protection, retrieval, transfer, and disposal of employee records.

Job Requirements of Administrative Supervisor

  • Bachelor degree in Business Administration/Commerce or Human Resources.
  • At least 3-6 years of experience in Human Resources/Personnel Management/Administrative Coordination or in a similar position.

Skills & Knowledge Desired

  • Should be well conversant with the internal policies and procedures of the Center.
  • Excellent interpersonal and organizational skills.
  • Proven expertise in handling multiple tasks at once and assuming coordination duties to a certain extent, preferably in a school setting.

Technical Competencies

  • Strong Presentational and Interpersonal skills.
  • Excellent communication, writing, typing, and proofreading skills in English and Arabic.
  • Excellent organization and time management skills.
  • Advanced computer skills in Microsoft Office.
  • Ability to handle multiple tasks and deadlines at once.
  • Ability to maintain confidentiality in all aspects of the job.
  • Operating knowledge of general office equipment.
  • A high level of interpersonal, customer service, networking, and diplomacy skills.
  • Promote teamwork environment.
  • Ability to develop processes and structures from scratch.
