Purpose of Administrative Coordinator

  • Aim to support efficient and centralized communication with clients in regard to their energy projects.
  • This position involves a wide range of administrative and organizational tasks to ensure smooth projects proceedings and excellent customer service.

Job Duties of Administrative Coordinator

Customer Communication and Satisfaction

  • Respond promptly to customer inquiries via phone, email, or in-person meetings.
  • Assist in scheduling appointments and site visits for solar assessments and installations.
  • Maintain a high level of professionalism and customer satisfaction in all interactions.
  • Compile and analyze data related to sales, installations, and customer satisfaction.

Administrative Support

  • Manage and organize documentation related to solar installations, permits, and contracts.
  • Maintain accurate records of customer information, project details, and financial transactions.
  • Coordinate with various departments to ensure the timely completion of projects.

Scheduling and Coordination

  • Schedule appointments for sales consultations, site assessments, and installation crews.
  • Coordinate with suppliers and subcontractors to ensure timely material deliveries and installations.
  • Track project timelines and update customers on the progress of their solar installations.

Permitting and Compliance

  • Assist in obtaining necessary permits and approvals for solar projects.
  • Ensure compliance with local, state, and federal regulations related to solar installations.
  • Keep up to date with changes in regulations and permit requirements.

Qualification & Experience

  • Bachelor’s degree in business administration or equivalent.
  • 1 to 3 years of previous experience in an administrative or customer service role is advantageous.

Desired Skills & Knowledge

  • Familiarity with the residential solar industry and related terminology is a plus.
  • Proficiency in using office software (e.g., Microsoft Office Suite, CRM systems) .
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal abilities.
  • Ability to multitask and work in a fast paced environment.
  • Basic knowledge of financial processes and record keeping.
