Purpose of Administrative Coordinator
- Aim to support efficient and centralized communication with clients in regard to their energy projects.
- This position involves a wide range of administrative and organizational tasks to ensure smooth projects proceedings and excellent customer service.
Job Duties of Administrative Coordinator
Customer Communication and Satisfaction
- Respond promptly to customer inquiries via phone, email, or in-person meetings.
- Assist in scheduling appointments and site visits for solar assessments and installations.
- Maintain a high level of professionalism and customer satisfaction in all interactions.
- Compile and analyze data related to sales, installations, and customer satisfaction.
Administrative Support
- Manage and organize documentation related to solar installations, permits, and contracts.
- Maintain accurate records of customer information, project details, and financial transactions.
- Coordinate with various departments to ensure the timely completion of projects.
Scheduling and Coordination
- Schedule appointments for sales consultations, site assessments, and installation crews.
- Coordinate with suppliers and subcontractors to ensure timely material deliveries and installations.
- Track project timelines and update customers on the progress of their solar installations.
Permitting and Compliance
- Assist in obtaining necessary permits and approvals for solar projects.
- Ensure compliance with local, state, and federal regulations related to solar installations.
- Keep up to date with changes in regulations and permit requirements.
Qualification & Experience
- Bachelor’s degree in business administration or equivalent.
- 1 to 3 years of previous experience in an administrative or customer service role is advantageous.
Desired Skills & Knowledge
- Familiarity with the residential solar industry and related terminology is a plus.
- Proficiency in using office software (e.g., Microsoft Office Suite, CRM systems) .
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal abilities.
- Ability to multitask and work in a fast paced environment.
- Basic knowledge of financial processes and record keeping.
