Job Description
Advertising industry is currently seeking a proactive and organized individual to join their team as an Administrative Assistant. This role plays a crucial part in supporting the smooth operation of their office and providing administrative assistance to various departments.
Responsibilities of Administrative Assistant
- Greet and assist visitors, clients, and employees, directing them to the appropriate person or department as needed.
- Answer and screen incoming calls, take messages, and respond to inquiries in a professional and timely manner.
- Manage the company’s general email account, sorting and forwarding messages to the appropriate recipients.
- Maintain office supplies inventory, ordering and restocking supplies as needed, and ensuring cost effective procurement practices.
- Assist with scheduling appointments, meetings, and travel arrangements for executives and team members, coordinating logistics and preparing necessary materials.
- Prepare and distribute correspondence, reports, and documents, ensuring accuracy and adherence to company guidelines and standards.
- Assist with data entry, record keeping, and file management tasks, organizing and maintaining electronic and physical files and databases.
- Assist with event planning and coordination, including booking venues, arranging catering services, and coordinating logistics for meetings and conferences.
- Assist with special projects and initiatives as assigned, providing administrative support to various departments and teams.
- Uphold confidentiality and discretion in handling sensitive information and maintaining security protocols for office access and data privacy.
Requirements of Administrative Assistant
- High school diploma or equivalent; additional education or training in office administration or related field is a plus.
- Previous experience of 1-2 years as an administrative assistant, office clerk, or similar role preferred but not required; training will be provided for motivated candidates.
Skills and Knowledge Desired
- Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple assignments simultaneously.
- Excellent communication and interpersonal skills, with the ability to interact professionally with colleagues, clients, and vendors.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software applications.
- Attention to detail and accuracy in completing tasks, with a proactive and self motivated approach to work.
- Ability to work independently with minimal supervision and as part of a team, demonstrating reliability and a positive attitude.
- Flexibility to adapt to changing priorities and deadlines in a fast paced environment.
- Knowledge of office equipment, including printers, copiers, and fax machines.
