Job Description
Maersk UAE is presently looking for suitable candidate for job position of an Administration Assistant (Admin / Clerical) in Dubai. Purpose of An Administration Assistant
- Perform various administration and clerical support to assigned departments as required.
- To stream line & reorganize administration function to support growing needs of the organization.
Your Job Duties As An Administration Assistant (Admin / Clerical) At Maersk Dubai (UAE)
- Manage office facilities in a professional manner including pest control, general maintenance, office assistants etc.
- Maintain correct records, secure and issue parking cards and access cards for staff.
- Manage in house events & meetings.
- Manage voucher issuance for birthday, newborn, marriage, star awards, appreciate and spot awards.
- Marketing material – Cookies & calendar order & distribution, inventory management.
- Arrange and distribute welcome packages for new joiners.
- Arrange business cards and printed material for meetings and events in accordance with company brand guidelines.
- Invoice management – ensure costs are recharged in accordance with company policy and in timely manner.
- Holiday cover for the Receptionist.
- Handle end to end relocation requirements in Dubai including booking accommodation, flights, transfers, visit visas for family, travel insurance and medical insurance for new joiners.
Eligibility Criteria?
Qualification
- Bachelor’s degree in business administration.
Experience
- 3-5 years’ experience in an administrative or business support role or as an Executive Assistant.
Nationality
- UAE National
Skills & Knowledge Required
- Structured approach to work and good data management skills.
- Strong communication skills (written and verbal).
- Proven ability to manage changing priorities with multi tasking skills.
- Strong attention to detail with solid organization and time management skills.
- Proficient in MS product suite – Outlook, Excel, Word, Powerpoint
- Ability to work in office and remote with minimal supervision.
- Ability to set plans, follow up and keep stake holders informed.
