University Hospital Sharjah is seeking a competent and proficient Admin Coordinator to join their administrative team.  The incumbent will be responsible and accountable for providing services in all aspects of the operation, ensuring that the strategic objectives and operational plans of the organization, as developed by the Board, are carried out to provide effective and efficient delivery of services. 

Responsibilities of Admin Coordinator

  • Assist with project development and planning to ensure more efficient service and organization of the department.
  • Assist the Eng. Manager in the coordination, supervision, and completion of all tasks & projects as appropriate.
  • Coordinate between the facilities and the other departments.
  • Prepare accurate reports for upper management.
  • Answer inquiries by email, phone or walk-in clients.
  • Discuss services to clients for both Healthcare and Medical Equipment.
  • Verify purchase requisitions by comparing items requested to master list, clarifying unclear items, recommending alternatives.
  • Forward available inventory items by verifying stock, scheduling delivery.
  • Prepare purchase orders by verifying specifications and price; obtaining recommendations from suppliers for substitute items, obtaining approval from requisitioning department.
  • Communicate with suppliers, retailers, customers to achieve profitable deals and mutual satisfaction.
  • Plan and track the shipment of final products according to customer requirements.
  • Keep logs and records of warehouse stock, executed orders etc.
  • Ensure a safe working environment by ensuring compliance with UHS Health and Safety regulations as described in UHS Policies and procedures.
  • To communicate daily requirements of customers to teams responsible for delivery of the service.
  • Contribute individually and in the teams to ways of continuously improving the service.
  • To co-ordinate work patterns and ensures sufficient cover is available at all times.
  • Review and maintain quality system procedures.
  • Communicate developments and outcomes to all staff, keeping staff fully informed at all times.

Position Requirements

For the role of Admin Coordinator at UHS, you’ll need the following:

  • Bachelor’s degree.
  • Minimum 2 years’ experience.

Knowledge & Skills

  • Nursing or medical knowledge.
  • Communication skills.
  • Fluent in English.
