Job Description
Financial Services industry is currently seeking a meticulous and organized individual to join their team as a Document Controller. This role is integral to maintaining accurate and organized documentation systems to support their operations and regulatory compliance.
Responsibilities of Document Controller
- Establish and maintain document control procedures and systems to ensure the secure and efficient management of documents and records.
- Receive, review, and distribute incoming documents, including contracts, drawings, specifications, and correspondence, to appropriate personnel.
- Organize and maintain electronic and hard copy filing systems, ensuring documents are categorized, indexed, and archived according to company standards.
- Monitor document revisions and updates, tracking changes and ensuring that all versions are properly identified and accessible to authorized users.
- Collaborate with project teams, departments, and external stakeholders to facilitate document review, approval, and distribution processes.
- Coordinate document retrieval and dissemination requests, responding promptly to inquiries and providing accurate information as needed.
- Conduct regular audits and quality checks of document control systems to ensure compliance with company policies, procedures, and regulatory requirements.
- Assist with the preparation and compilation of reports, presentations, and documentation packages for internal and external stakeholders.
- Provide training and support to staff on document control procedures, software applications, and best practices.
- Maintain confidentiality and discretion in handling sensitive information and documents.
Requirements of Document Controller
- Bachelor’s degree in Business Administration, Information Management, or a related field preferred.
- Previous experience of 1-2 years as a document controller, records manager, or similar role in a corporate environment preferred but not required.
Skills and Knowledge Desired
- Proficiency in document management software and systems, such as SharePoint, Documentum, or similar platforms.
- Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast paced environment.
- Attention to detail and accuracy in maintaining documentation, records, and filing systems.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal teams and external partners.
- Familiarity with document control standards, regulations, and best practices.
- Ability to adapt to changing priorities and work independently with minimal supervision.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software applications.
