Job Description
Advertising industry in Dubai is seeking a highly organized and detail oriented individual to join their team as an Administrative Assistant. This role plays a vital part in providing administrative support and ensuring the smooth operation of their office.
Responsibilities of Administrative Assistant
- Provide administrative support to ensure efficient operation of the office, including answering phones, responding to emails, and managing correspondence.
- Assist with the preparation, formatting, and editing of documents, reports, presentations, and other materials as needed.
- Schedule appointments, meetings, and conference calls, coordinating calendars and making travel arrangements for team members as required.
- Maintain office supplies inventory by checking stock to determine inventory levels, anticipating supply needs, placing and expediting orders for supplies, and verifying receipt of supplies.
- Organize and maintain paper and electronic files, records, and documents, ensuring proper filing and documentation of information for easy retrieval.
- Greet and assist visitors, clients, and vendors, directing them to the appropriate person or department and ensuring a positive and professional experience.
- Assist with event planning and coordination, including meetings, conferences, workshops, and special events, coordinating logistics and providing on site support as needed.
- Assist with basic accounting and financial tasks, such as processing invoices, expense reports, and purchase orders, and reconciling financial records.
- Assist with HR related tasks, including maintaining employee records, processing payroll, and coordinating employee training and development activities.
- Perform general clerical duties, such as photocopying, scanning, faxing, filing, and data entry, to support the efficient operation of the office.
- Collaborate with team members and departments to facilitate communication, coordinate projects, and support organizational initiatives.
Requirements of Administrative Assistant
- High school diploma or equivalent; additional education or training in office administration or related field is a plus.
- Proven experience of 1-2 years as an administrative assistant, office assistant, or similar role.
Skills and Knowledge Desired
- Strong administrative and organizational skills.
- Proficiency in Microsoft Office suite (Word, Excel, Outlook, PowerPoint) and other office software and applications.
- Excellent communication skills, both written and verbal, with the ability to interact professionally with internal and external stakeholders.
- Strong attention to detail and accuracy in data entry, record keeping, and documentation.
- Ability to prioritize tasks and manage time effectively in a fast paced environment, demonstrating flexibility and adaptability to changing priorities.
- Discretion and confidentiality in handling sensitive information and maintaining data privacy and security.
- Positive attitude, reliability, and a willingness to learn and take on new responsibilities.
