Job Description

Admin Assistant at Mubarak Bin Mohammed Cycle 2 Charter School is responsible to support with administrative assistance and organisation of the department.  The successful candidate will be closely aligned with their core values and ethos and possess a genuine understanding and appreciation of the values of the region.

Responsibilities of Admin Assistant

  • To Effectively provide administrative support to ensure efficient operation in the organisation.
  • To work independently within its designated functions.
  • Act as the point of contract between the department and internal/external contacts.
  • Create meeting agendas, take minutes, and record summaries of actions to be taken.
  • Compose correspondence, proofread documents for accuracy and completeness and follow up on actions.
  • Complete petty cash, reimbursement, and requisitions forms.
  • Assist in all aspects of event planning.
  • Coordinate projects and spreadsheets with precise attention to details.
  • Ensures strict confidentiality, discretion, and professionalism at all times.
  • Contributes to team effort by accomplishing related results as needed.
  • Arrange for meetings as instructed. Include arranging conferences, visual aids and refreshments. May attend meetings to take minutes.
  • Assist with tasks assigned as and when required by the management team.
  • Manage diaries of team members, schedule internal and external meetings
  • Assist in planning itineraries, including booking travel and accommodation
  • File correspondence and other records related to the activities of the Division. Maintain and update files. Establish and improve own filing system. Raise and requisitions, maintain and distribute office stationery and supplies.
  • Receive, sort and distribute all incoming mail. Prepare outgoing mail for dispatch. Maintain a proper register for incoming/outgoing mail. Ensure direct delivery of confidential material/mail.

Job Requirements of Admin Assistant

  • High School Certificate or bachelor’s degree.
  • Minimum of 3 to 5 years of experience in a similar industry.

Skills & Knowledge Desired

  • Proficient in operating PC, Photocopier, and various office machines.
  • Proficient in Microsoft Office programs, and Outlook 365.
  • Strong English communication skills (verbal and written).
  • Arabic speaking skills of advantage.
  • Strong interpersonal skills to aid in daily contact with parents in a diverse multi cultural environment.
  • Excellent office management skills.
  • Strong ability to prioritize and multitask.
