Job Description
Ordering Assistant Automotive at Alfahim in Fairmont Bab Al Bahr, Abu Dhabi, UAE will be responsible for execution of passenger cars ordering process for Western Motors (Jeep, Fiat Passengers Cars and Ankai Bus) to ensure customers receive vehicles on time and in accordance with required parameter and specifications. Perform various sales administration activities to ensure smooth flow of operations. This is an Entry level full time job. And salary can range between 4000-6000 AED/month.
Responsibilities of Ordering Assistant Automotive
- Operations: Prepare monthly roll out reports (ROL) with forecasted order quantities and stock levels. Participate in order quantity negotiation meetings with the Regional sales manager, Chrysler along with sales supervisor, sales manager and general manager. Ensure timely and accurate completion of order placement process once approved by the management. Prepare and review final order sheet to ensure quantity and specifications compliance with the approved Order Planning and ROL reports before uploading any order to the Principal’s system.
- Forecasting: Prepare previous month’s stock turnover, current market trends, and department’s selling targets against stock in hand. And in process to forecast next order quantity (order planning report).
- Logistics: Coordinate with all parties involved throughout the shipment receiving process to ensure the shipment is cleared on time to avoid any port penalties. Coordinate with finance department for marine insurance formalities and carriage & freight team to proceed with custom formalities.
- Administration: Coordinate with sales team for proper backup documents, obtain fleet account number for each customer. Create and update data with each closed sale in order to claim fleet incentive/discounts. Update sales invoices in the system once the deal is approved by the management. Ensure document completeness, review price, discount level, profit margin details in compliance with the approved deal.
- Autoline: Continuously update the Auto line system with stocks upon receiving from port in order to give a clear stock visibility for sales team and management.
- Retail & Invoices Report: Generates retail reports (cars sold) and invoices on a day-to-day basis to provide updates to internal and external parties. i.e. Management and Principal.
Requirements for Role of Ordering Assistant Automotive
- Secondary School Education Certificate.
- Diploma in business, mechanical or equivalent is a plus.
- 1-2 years of minimum experience in inventory/order management within automotive industry.
