Job Description

Transguard Group currently recruiting for a Team Assistant / Executive Assistant for our client to be based out of their Abu-Dhabi office. His role will be to provide professional secretarial & administrative support for our Directors within the Executive team and the Business Unit team members.

Job Tasks

  1. Diary management, setting up meetings and visits, ensuring relevant attendance and preparation.
  2. Review incoming email / correspondence and where appropriate action independently.
  3. Organize all travel arrangements, including the necessary approvals and assessments.
  4. Internal, client and supplier telephone interface as required.
  5. Manage expense claims and approvals on behalf of Director.
  6. Maintain timesheets for Director and – where required – their leadership team.
  7. Organize internal and external meetings, incl. preparatory materials, and take minutes as required, cascade and chase actions where appropriate.
  8. Professionally expedite delegated actions from Director.
  9. Plan and review the Director’s commitments and reporting schedules to assist Director in meeting internal and external commitments, as well as delivery of goals and initiatives.
  10. Ad hoc project work and tasks requiring research and data collection.
  11. Prepare presentations and reports targeted at a variety of audiences, e.g. customers, employees, senior management, key stakeholders etc., ensuring necessary quality achieved every time.
  12. Compile reports and liaise directly with contributors to ensure timely submission.
  13. Maintain filing systems and controlled documents.
  14. Implement and manage processes in line with company policies and directives.
  15. Interface and communicate with senior client representatives and other stakeholders on behalf of Director.
  16. Liaise with senior management within company on behalf of Director.
  17. Establish good working relationships with other Personal Assistants internally and externally, as well as the wider company’s Admin Team, supporting where required.
  18. Organise periodic events.
  19. Provide support to other Directors and Senior Management as required.

Skills Needed

  1. Excellent organizational skills and professional working style.
  2. Word, Excel & PowerPoint to an intermediate level as a minimum, preferably advanced level.
  3. Good interpersonal skills – strong communicator who is confident engaging at all levels (both internal and external).
  4. Minimum 3 years of Experience in the same.
  5. A team player, flexible in approach and attitude, able to establish and maintain positive working
    relationships.
  6. High integrity, able to work with complete confidentiality.
  7. Assertive and deadline driven.
  8. Attention to detail and focused on delivering quality output.
  9. Proactive and able to work under pressure / prioritize with minimal supervision.
  10. Organizational awareness.
