Spot Coordinator BA Service Honey Well Dubai UAE Full-time

This role coordinates spot service operations from proposal generation through final billing. Consequently, you will ensure all service appointments run smoothly within Honeywell’s Service Management System (SMS) and CPQ tools. You will prepare estimates, generate work orders, order materials, and monitor billing reports for timely revenue recognition. Above all, your coordination directly impacts revenue, past due metrics, and customer satisfaction across the META region. You will report directly to Service Business Leaders.

Key Responsibilities

• Facilitate field staff and service supervisors with proposal generation. Follow up on recommended repair reports from SMS, obtain parts and subcontractor pricing, then prepare estimates in CPQ.
• Generate proposals for customer approval. Send them to clients, follow up for feedback and purchase orders, then log and track proposal success rates.
• Support coordination to achieve committed revenue, past due targets, billing, and spot invoicing goals.
• Verify customer information in CPQ and SMS. Generate work orders and ensure proper booking documentation (purchase order or signed document) arrives.
• Inform field staff of work order details. Verify their schedule, communicate delivery timelines to customers, and order all required materials for each job.
• Issue purchase orders with input from field staff. Ensure all material, subcontractor, and other costs process before job closure. Follow up with vendors as needed.
• Ensure 100% work completion in the field. Finalize work orders with all costs and descriptions, then close them on time in SMS and verify correct export.
• For larger or quoted spot jobs, send detailed billing instructions to BSC. Monitor billing reports and unbilled items, then follow up on customer paperwork receipt and support cash collection.

Requirements & Qualifications

• Bachelor’s degree in a relevant field or equivalent work experience.
• 4–6 years of service industry experience, preferably in a coordination or management role.
• Strong organizational and time management skills. Excellent communication and people-oriented abilities are essential.
• Proven experience coordinating service operations, including proposal generation, work order management, and billing processes.
• Knowledge of service management software and tools (e.g., SMS, CPQ).
• Customer-focused mindset with dedication to exceptional service. Ability to analyze data for actionable insights is a plus.
• Ability to work effectively in a fast-paced, dynamic environment with a continuous learning mindset.
• Experience with purchase order changes and customer support resolution.
