The front office of a Patient Admin private hospital is where patient experience begins and operational accuracy is tested in real time — and this senior role at NMC Healthcare carries responsibility for both. As a Patient Services team lead, you manage registration, insurance verification, billing, scheduling, and complaint resolution while simultaneously supervising front office staff, monitoring shift coverage, and ensuring every patient interaction meets JCI and NMC standards. You are the person patients encounter first and the one your team looks to for process clarity, escalation support, and day-to-day leadership. Key Responsibilities

• Greet patients on arrival, confirm the nature of their visit, and direct them to the correct department or clinician. Provide accurate routine information about hospital services clearly and professionally.
• Register new patients and update existing records. Collect all required patient details accurately and maintain high data quality standards in line with privacy regulations.
• Verify insurance eligibility before every consultation. Check coverage thoroughly, explain benefits and billing to patients, collect co-payments, and process payments in the hospital information system before sending patients through.
• Handle phone inquiries, screen calls by urgency, schedule appointments, and respond to emails daily. Clear outstanding queries and escalate unresolved issues appropriately.
• Generate and process patient invoices for consultations, treatments, and diagnostic tests. Ensure all charges reflect correct services, dates, and billing codes without exception.
• Investigate billing discrepancies by reviewing patient records, insurance details, and charge entries. Track outstanding balances and provide regular billing performance updates to management.
• Handle patient complaints in a structured, timely, and professional manner. Resolve issues fairly, maintain patient confidentiality throughout, and use complaint patterns to recommend service improvements.
• Supervise and support front office staff across scheduling, attendance, leave management, uniform standards, and shift coverage. Ensure consistent operational coverage across all shift timings.
• Participate in hospital training programs and contribute actively to continuous quality improvement and JCI compliance activities across the department.

Requirements & Qualifications

• Minimum two years of experience in a customer service or patient-facing role. UAE healthcare experience is a strong advantage.
• Solid understanding of UAE private health insurance processes, including eligibility verification, co-payment collection, and claim form processing.
• Experience generating and processing patient invoices, investigating billing discrepancies, and tracking outstanding balances in a hospital or clinic environment.
• Working knowledge of hospital information systems, clinic scheduling, appointment booking, and doctor duty rosters.
• Demonstrated ability to supervise a small team, manage shift scheduling, and maintain operational coverage across a busy reception environment.
• Strong interpersonal and communication skills. You handle difficult patient interactions with professionalism, empathy, and respect for confidentiality.
• Familiarity with JCI standards, NMC policies, infection control protocols, and patient safety requirements applicable to front office operations.
• Proficient in MS Office and comfortable managing email correspondence, data entry, and daily cash reconciliation processes.
