Key Responsibilities

• Coordinate daily patient admissions, transfers, and discharges, ensuring accurate bed allocation based on clinical acuity and infection control requirements.
• Manage the ward’s electronic bed board and patient census, updating the hospital information system (HIS) in real time to reflect movement.
• Serve as the central communication hub between nursing staff, physicians, case management, and ancillary departments (radiology, laboratory, transport).
• Process physician orders for diagnostic tests, consultations, and medications, ensuring they are correctly entered and acknowledged in the computerised order entry system.
• Liaise with the emergency department and intensive care unit to prioritise direct admissions and bed requests, escalating capacity issues to nursing leadership.
• Maintain accurate patient charts – electronic and paper – ensuring that all consents, test results, and discharge summaries are filed promptly.
• Arrange patient transport within the hospital, coordinating with porters and receiving departments to minimise delays.
• Monitor and restock clerical supplies, patient forms, and unit stationery, placing orders through the procurement system as needed.
• Answer and direct telephone calls, relay messages to healthcare providers, and greet patients and families with empathy and professionalism.
• Assist the nurse manager with daily reports, shift schedules, and staff attendance records.
• Participate in unit‑based quality improvement projects and contribute to maintaining JCI and DOH accreditation standards.
• Maintain strict patient confidentiality and adhere to hospital safety and infection control policies at all times.

Requirements & Qualifications

• High school diploma or equivalent; a certificate in Medical Administration, Health Information Management, or a related field is preferred.
• Minimum 2 years of experience as a ward clerk, unit secretary, or patient coordinator in a hospital inpatient setting (UAE experience is an advantage).
• Proficiency in hospital information systems (HIS) and electronic medical records (EMR) – specific software training will be provided for the right candidate.
• Strong knowledge of medical terminology, patient admission/discharge workflows, and order entry procedures.
• Excellent English communication skills (spoken and written); Arabic is a strong asset for patient and family interactions.
• Typing speed of at least 40 wpm with high accuracy, and solid skills in Microsoft Office (Word, Excel, Outlook).
• Ability to multitask, prioritise competing demands, and remain calm in a fast‑paced, 24/7 clinical environment.
• Understanding of patient confidentiality (DOH/HIPAA), infection control basics, and emergency codes.
