Export Documentation Specialist Full-time

Guildhall is representing a prominent organisation in their search for an experienced Export Documentation Specialist. This role is critical in ensuring the smooth flow of international shipments, with a particular focus on compliance, accuracy, and the handling of perishable goods.

Key Responsibilities

• Prepare, review, and verify all export documentation required for international shipments, including:
  Phytosanitary Certificates
  Bills of Lading (Master & House B/L)
  Certificates of Origin

• Other supporting documents related to export procedures and perishable shipments
• Ensure full compliance with international trade regulations, export standards, and country-specific requirements.
• Prepare and manage banking documentation related to exports, including Letters of Credit and Documentary Collections.
• Coordinate with shipping lines, freight forwarders, and government/regulatory authorities to ensure the timely movement of goods.
• Maintain accurate, organised records and ensure prompt submission of all necessary documents.
• Collaborate with internal teams across sales, logistics, and finance to support smooth export operations.

Qualifications & Requirements

• Proven experience in export documentation, ideally within perishable goods or fresh produce industries.
• Strong understanding of international trade procedures, documentation, and compliance requirements.
• Solid knowledge of banking regulations tied to exports, including Letters of Credit and Documentary Collections.
• Excellent organisational and time management skills, with strong attention to detail.
• Effective communication and coordination abilities to work with both internal and external stakeholders.
• Ability to manage multiple priorities, work under pressure, and meet strict deadlines.
