This role coordinates between customers and internal departments (PDI, sales, logistics) to ensure smooth vehicle handovers while delivering the highest degree of customer service. You will prepare Vehicle Configuration Records, schedule appointments, and provide comprehensive explanations of vehicle operational features, warranties, and available accessories. Consequently, your attention to detail and proactive communication directly maximise customer satisfaction, future recommendations, and repeat sales.
Key Responsibilities
- Liaise with the PDI department on vehicle readiness, therefore scheduling handover appointments in coordination with the sales department.
- Prepare a Vehicle Configuration Record prior to delivery, ensuring all specifications match customer requirements.
- Liaise with customers regarding delays, changes in requirements, or specifications, therefore ensuring smooth conclusion of vehicle handover.
- When required, hand over vehicles outside the company premises while upholding the same standards of customer service.
- Stay up to date on vehicle operational features, latest innovations, and technical information. Provide comprehensive explanations to new car owners, therefore improving the customer experience.
- Ensure customers are aware of all available extras, accessories, and warranties, introducing them to the service department for aftersales support.
- Liaise with sales advisors on the registration process and coordinate with logistics for deliveries made via recoveries, ensuring seamless integration of handover processes.
- Maintain accurate and timely records on delivery status, including sending a daily report of cars delivered to the line manager.
- Ensure all vehicle transaction details (delivery documents, checklists, delivery notes, extended warranty) are accurately completed, recorded, and registered with sales administration.
- Work as part of a cohesive customer‑focused team to promote enhanced levels of customer service.
Requirements & Qualifications
- Degree in any discipline or automotive vocational route qualification.
- Minimum 2 years of experience in a customer service environment, preferably in automotive sales or vehicle delivery.
- Good knowledge of automobile sales gained through formal training or work experience.
- Bilingual in Arabic and English (written and spoken) – mandatory.
- Attention to detail and concern for quality, with a dynamic and proactive personality.
- Ability to explain technical vehicle features to customers in an accessible, friendly manner.
- Strong organisational skills to manage multiple handover appointments and documentation.
- Proficiency in Microsoft Office and basic dealership management systems.
- Valid UAE driving license is preferred.
